Paper Submission Guidelines

● IEEE templates for the paper format, and “no show” policy apply.
● Accepted papers must be presented at the conference by at least one of the authors.
● One author is required to register for the conference at a non-student rate and must complete the registration before the specified author registration deadline.
● A single full registration allows for up to four accepted papers.
● Failure to register by the deadline will result in the automatic removal of your paper from both the conference proceedings and the program.
● IVMSP mandates that each accepted paper be presented in person by one of the authors, in accordance with the published schedule. Any paper included in the technical program but not presented at the conference will be excluded from the official proceedings archived in IEEE Xplore.

● The submitted papers will undergo peer review by at least two experts in the field. To maximize visibility and impact as early as possible all accepted papers will be made available for open preview on IEEE Xplore and will be accessible for free in their final format starting one month before the workshop.

 

Author Guidelines

1. Language and Originality Statement

By submitting this paper to IVMSP 2026, the authors hereby declare that:
● The manuscript is written in English, and the language used is suitable for peer review and publication.
● The submitted work is original, has not been published previously in the same form, and is not under review for publication elsewhere.
● All authors have approved the final version of the manuscript and agree to its submission.
● Any text, data, figures, or other materials borrowed from other sources are clearly identified and acknowledged; appropriate permissions have been obtained when required.

2. Fees and Benefits

● IVMSP 2026 will be held as an in-person conference in Shenzhen, a vibrant city known for its innovation, modernity, and dynamic blend of culture and technology.
● The organizing committee is excited to invite attendees to IVMSP 2026, where they can look forward to a diverse program that includes technical and specialized sessions, keynote presentations from prominent researchers,insightful tutorials, and plentiful opportunities for networking with peers and experts in the field.

● Please note: According to the submission guidelines, all accepted papers must be presented in person at the workshop. Virtual presentations will not be allowed.

3. Refund Policy

All registration fees covering a paper are non-refundable. For registration fees not linked to a paper, a full refund will be issued, minus a $50 (or equivalent) processing fee, if the refund request is submitted (prior to the last day of the Advance Registration deadline) on or before 1st of August 2026.

4. Non-Presented Paper (No-Show) Policy

Any accepted paper included in the final program is expected to have at least one author or qualified proxy attend and present the paper at the conference. If a paper is not presented at the conference, the paper will not be published by IEEE on IEEE Xplore® or other public access forums, but these papers will be distributed to conference attendees as conference proceedings and the copyright of these papers will belong to IEEE. For poster sessions, if the speaker is not present in front of the poster for most of the time during the poster session, this also implies the paper was not presented. Conference organizers are required to collect attendance records and a list of any non-presented papers and submit to IEEE SPS staff.

Exceptions to this policy will be made by the Technical Program Chair(s) of the conference only if there is evidence that the no-show occurred because of unanticipated events beyond the control of the authors, and every option available to the authors to present the paper was exhausted. The no-show authors may appeal the decision of the Technical Program Chair to the VP-conferences.
